Contract pilot invoice template

Fill it in, print it or save as PDF. It follows the layout flight departments expect: tail, route, dates, service lines, reimbursables with receipts, balance due, terms.

How to use the template

  1. Enter your details as the payee, exactly as they appear on your W-9, and the entity that holds the aircraft as the client.
  2. Give the invoice a number you will not reuse. INV-0001, then INV-0002. Accounting departments key on it.
  3. Fill the trip block so the scheduler can match it from memory: tail number, type, route by identifier, dates, seat.
  4. Add one line per billable category with the quantity and your rate. Keep reimbursables separate and attach receipts when you send it.
  5. Press print. In the dialog, choose “Save as PDF” and name the file with the invoice number.

For what goes in each block and why, read the contract pilot invoice, line by line. To set the rates themselves, use the day-rate calculator.
